Doc2Lang Privacy & Data Protection — How Your Files Are Kept Safe

"The documents I want to translate are often confidential — they contain company secrets or personal information that should never leak." This is the first concern that many customers evaluating Doc2Lang raise.

This guide explains, in plain language, how Doc2Lang handles and protects your files. In short: Doc2Lang has multiple safeguards in place to ensure your files never fall into third-party hands — during translation or after.

Five pillars of protection

Doc2Lang's data protection is built on the following five pillars.

1. HTTPS encryption for uploads and downloads

All traffic between your device and the Doc2Lang servers is protected with industry-standard HTTPS/SSL encryption. Files being uploaded cannot be intercepted or read in transit.

2. Immediate deletion option after translation

Once translation is complete and you have downloaded the translated file, you can immediately delete both the original file and the translated file from our servers. For highly confidential documents, we strongly recommend deleting right after download.

3. Automatic deletion after 14 days

Even if you don't delete files manually, they are automatically deleted after 14 days. Even if you forget, your files will not be stored on Doc2Lang servers long-term.

⚠️ Important: Files are permanently deleted after 14 days, so please download and back up your translated files early. Once deleted, files cannot be recovered.

4. OpenAI does not store your data

Doc2Lang uses OpenAI's ChatGPT API as its translation engine, but OpenAI does not store data processed through the API and does not use it for model training. This is guaranteed by OpenAI's official API data policy.

In other words, your documents will never become training data for the translation AI or appear in another user's responses.

5. Secure payment processing via Stripe

Credit card information is never stored on Doc2Lang servers. All payments are processed by Stripe, which is PCI DSS compliant. No card numbers or expiration dates are retained on Doc2Lang's systems.


Data lifecycle: from upload to deletion

Let's walk through how your files are handled by Doc2Lang over time.

    Step 1: Upload

    Your file is uploaded to our server over HTTPS. The connection is encrypted, so nobody in between can read its contents.

    Step 2: Temporary processing

    On the server, the text to be translated is extracted and sent to the OpenAI API. OpenAI does not retain this data — only the translated text is returned.

  3. 3

    Step 3: Translation result generation

    The returned text is merged back into the original file structure, producing a translated file. You can preview and download the result.

    Step 4: Deletion (manual or automatic)

    • Manual deletion: After downloading, click the "Delete" button on the screen to remove files immediately.
    • Automatic deletion: Even if you don't click the delete button, files are automatically deleted after 14 days.

    Deleted files are physically erased from our servers and cannot be recovered.


Common concerns — and our answers

Is it safe to translate confidential contracts?

A. Yes, as long as you observe these three practices:

  1. Delete the files from Doc2Lang as soon as you download them
  2. Be aware that files remain on the server for up to 14 days until auto-deletion
  3. Back up the translated files to your own secure storage promptly

When Doc2Lang is used as a service provider, please also follow your organization's information security policies and any NDA terms with your counterparties.

Can Doc2Lang staff read the files I upload?

A. In regular operations, staff do not view customer file contents.

Access to files on the server is restricted. We do not view file contents except when you give explicit permission during technical troubleshooting.

Will my translation data be used to train AI?

A. No.

The OpenAI API that Doc2Lang uses officially guarantees that your data is not stored and not used to train models. Your translation results will never appear in another user's response.

What if I want files deleted sooner than 14 days?

A. You can delete files at any time using the delete button on the screen after translation completes.

For highly sensitive documents, we strongly recommend clicking the delete button right after you download the result. In that case, files are erased from our servers immediately — without waiting 14 days.

Is it safe to translate documents that contain personal information (names, addresses, ID numbers)?

A. Technically the processing is safe, but please also consider the following:

  • Multiple safeguards apply: HTTPS encryption, OpenAI's no-retention policy, and automatic deletion after 14 days
  • However, if your organization must comply with GDPR, personal data protection laws, or industry-specific regulations (healthcare, finance, etc.), please evaluate Doc2Lang's suitability against those regulations
  • When extra caution is required, pseudonymizing personal information before upload is also an effective approach

If I delete my account, are my past translations also deleted?

A. Yes.

When you delete your account, the related files, translation history, and personal information such as your email address are deleted together.


Extra safety measures you can take

In addition to Doc2Lang's built-in protections, you can apply the following practices on your side.

1. Delete files immediately after download

This is the most reliable approach. After downloading the translated file, click the delete button on screen to erase the file right away.

2. Mask sensitive information before uploading

For confidential details that are not strictly required for translation — contract amounts, personal names, internal project codenames — consider replacing them with placeholders before upload, then restoring them after translation.

3. Use a strong password for your account

If you use credits, you'll create an account. Don't reuse the password from other services — use a long, complex one.

4. Back up translated files to your own secure storage

Since files are auto-deleted after 14 days, download translated files promptly and back them up to your own storage. Even when sharing download links, be aware that Doc2Lang's download pages become inaccessible after 14 days, so managing files on your side is recommended.

5. Use pay-as-you-go to skip account creation
